Providence Health & Services is recruiting for the position of Administrative Assistant, Human Resources (job # 37848, full-time, Non-exempt). Located in Seattle, Washington, this position is responsible for providing administrative and clerical support to system-level Sourcing and Recruitment (Talent Acquisition) and Talent Stewardship programs, activities, and staff.
Principal accountabilities include: scheduling appointments, coordinating meetings and travel arrangements; SRC and other project-related logistics and meetings, maintaining the master Talent Acquisition calendar and recruiter calendar, preparing agendas, minutes, and other documents; organizes and maintains records and files; initiating and composing correspondence and presentation materials; assembling training materials, information packets and other materials; setting up 360 online assessments and answering help calls from learners and reviewers; gathering, organizing, and compiling information for action and/or reports; processes expenses, purchase orders, invoices and monitors budgets; maintaining department, intranet, or Sharepoint sites on the Providence Intranet and ensuring content is up to date; coordinating with internal and external persons to accomplish assigned tasks and establishing and maintaining professional relationships involving a high level of integrity, trust, and confidentiality. |
| Requirements |
Minimum requirements for consideration include four years of university or college training in English, liberal arts or related subjects or graduation from a technical program in secretarial or office support services or the equivalent. The position requires three years of experience as an administrative assistant or executive secretary, including a minimum of two years for a corporate executive or the equivalent. Experience must demonstrate excellent organizational and time management skills, a high level of personal productivity, effective relationships with colleagues at all levels, unquestionable integrity and respect for confidential information, the ability to quickly learn new technical skills, and the ability to manage multiple priorities and handle unexpected events with composure. Intermediate to advanced experience with personal computers and applications software is required, including Word, Excel, PowerPoint and Outlook. Experience with database software, and graphics software such as Visio and PageMaker is preferred. |
